Identify how teams schedule meetings, share documents and work with external participants. Include conference rooms, mobile employees and users with accessibility needs. Record the tools already in place to avoid creating another disconnected workspace.

Compare the operating models

Compare an integrated productivity suite with specialist meeting and messaging tools. The right choice depends on participant experience, governance and the systems teams already use. A room deployment may require additional hardware, licensing and support beyond user subscriptions.

Make the demonstration prove the fit

Test external guest access, screen sharing, room joining and document permissions with real users. Review what happens to recordings, transcripts and AI-generated summaries. Confirm who can enable those features and where outputs are retained.

Compare the complete cost

Count meeting-room, webinar, calling and storage requirements separately. Check which capabilities are included and which are add-ons. Include implementation, training and ongoing room support when comparing the total cost of adoption.

Plan deployment and ownership

Roll out a small set of agreed workflows and name an owner for each tool. Establish guest access and retention settings before broad use. Measure adoption through practical outcomes such as fewer failed meetings or simpler document sharing, not login counts alone.
