Compare ownership and outcomes, not a vague support bundle.

Define the requirement

List the systems, locations and users to be supported. Record recurring incidents and the work your internal team wants to keep. Distinguish daily support from projects, security operations and application-specific work before requesting a proposal.

Compare the operating models

Fully managed services and co-managed arrangements place different responsibilities on your team. A co-managed provider may complement existing staff, while a broader service can own more routine operations. Use a responsibility matrix to make the boundary clear.

Make the demonstration prove the fit

Walk through a user lockout, an unavailable application and a suspected security incident. Ask who receives the alert, who can take action and how escalation works outside normal hours. A response target is different from a guaranteed resolution time.

Compare the complete cost

Compare per-user or per-device charges with minimums, included tools and project rates. Confirm onboarding, documentation, onsite work and after-hours terms. Identify application vendors or other suppliers whose support is still required.

Plan deployment and ownership

Define access approval, documentation delivery and offboarding before granting administration rights. Agree on reporting that shows recurring problems and improvements. Validate that your organization retains the information and control needed to change providers responsibly.
