Choosing Microsoft licenses by role

Build a role-based subscription plan with clear renewal ownership.

Define the requirement

Export your current subscription and assignment inventory. Group employees by desktop application, email, collaboration, device management and security needs. Include shared devices, contractors and administrators rather than treating every account as the same role.

Compare the operating models

Compare the exact offers available for each role, including whether Teams and specialist capabilities are included or separately licensed. Business and enterprise offers have different conditions. Confirm eligibility and product terms for the proposed arrangement.

Make the demonstration prove the fit

Ask for a requirement-to-license matrix. For each important feature, identify the base license, add-on and configuration work needed. Buying a license does not deploy identity controls, enroll devices or migrate mailboxes.

Compare the complete cost

Review commitment length, billing schedule, renewal handling and seat-change conditions. Check the terms for the specific offer before assuming seats can be reduced. Separate migration, configuration and ongoing support from the subscription cost.

Plan deployment and ownership

Keep tenant ownership with your organization and define delegated administration explicitly. Pilot policy changes before broad deployment. Set a regular assignment and renewal review so new users, departed employees and changing roles are reflected in the plan.
