Priorities to put in your brief
- Distinguish administrative calling from student-service queues.
- Inventory shared spaces, devices and location requirements.
- Review access, retention and integration requirements before rollout.
Separate campus calling from student services
Administrative offices, shared spaces and student-facing service teams have different needs. Inventory numbers, shared devices and building locations. Identify the teams handling admissions, support or finance inquiries and whether a queue or contact center is appropriate.
Validate the application workflow
Name the student-information, CRM or service-management system and required action. Demonstrate lookup and handoff with test data, including the behavior when the application is unavailable. A vendor’s education focus does not establish that a specific student system is supported.
Prepare people and locations
Include accessibility, retention and access requirements in the evaluation with responsible staff. Test emergency-location configuration and building connectivity with the appropriate teams. Plan training and changes around the academic calendar, then document ongoing administration and support.
