Priorities to put in your brief

Start with the patient or staff journey

A clinic replacing desk phones and a health system redesigning patient access have different needs. Write down the journey before choosing a platform: a clinician initiates a call from Epic, a receptionist identifies an incoming caller, or a scheduler handles a queue while working in the EHR. The required product and integration can change with each scenario.

Make Epic integration specific

Name the Epic application, version, modules and hosting arrangement. Ask whether the proposed connector only launches a call, retrieves patient context or writes information back. Identify licensing from all involved suppliers and who supports failures between systems. A video-visit integration is not proof of phone-system integration. Use synthetic patient records in the demonstration.

Evaluate the data and operating model

Bring the teams responsible for privacy, security and clinical systems into the evaluation. Review data flows, access, recording and transcription settings, retention and the relevant agreements. Do not assume a product label makes the entire deployment compliant. Keep patient information out of an initial Avenvox sales inquiry.
