Priorities to put in your brief

Map the property experience
A reservation desk, guest-room phone and staff mobile device do not have identical requirements. Inventory them separately, including emergency calling, front-desk workflows and after-hours requests. A multi-property operator should also define which calls stay local and which overflow centrally.
Name the property-management integration
Ask for the exact PMS name, version and required actions. Check whether guest status, room information or billing needs to move between systems and which party supplies the interface. A hot-desking feature called hoteling is unrelated to proving a hotel PMS integration.
Pilot with property operations
Test realistic reservation and guest-service scenarios with the front-desk team. Include equipment, network readiness, support outside office hours and seasonal staffing in the cost model. Document the fallback procedure for a lost internet connection or unavailable interface.
